Terms of Service

🐾 Scope: Pet (animal) records only. Pawdex is exclusively a pet record-keeping service for the use of pet owners and pet-related businesses. Every reference in these Terms to “vaccinations,” “health records,” “health diary,” “medical notes,” “clinical notes,” “weight,” “allergies,” “dietary notes,” “treatment,” “prescription,” or any similar term refers exclusively to records of pets (companion animals). Pawdex does not collect, store, or process human medical, health, or personally identifiable health information of any kind. Pawdex is not a healthcare provider, not a telemedicine service, not a HIPAA-covered entity, and not a substitute for any human medical service.

Welcome to Pawdex. These Terms of Service (“Terms”) govern your access to and use of mypawdex.com and its related features (collectively, the “Service”), which lets pet owners manage records about their pets and lets pet-related businesses serve those pet owners. The Service is operated by PixelPath Software Publishing House, a sole proprietorship registered with the Philippine Department of Trade and Industry (DTI Business Name Registration No. 8145950) based in Cebu City, Philippines (“we”, “us”, “our”, “Pawdex”). Please read these Terms together with our Privacy Policy.

1. Agreement to Terms

By accessing or using the Service in any way — including creating a pet-owner account, viewing a public pet passport page, or scanning a Pawdex QR code — you agree to be bound by these Terms and our Privacy Policy. If you do not agree, do not use the Service. We may modify these Terms at any time; the updated version will be posted at this URL with a new “Last updated” date. Continued use of the Service after changes are posted constitutes your acceptance.

2. Eligibility

You must be at least eighteen (18) years of age to register a Pawdex account. By creating an account you represent that you are 18 or older and have the legal capacity to enter into this agreement. We reserve the right to suspend or terminate any account believed to belong to a minor.

3. Your Account

You are responsible for the activity that occurs under your account and for keeping your password confidential. One person per account — do not share login credentials. Notify us promptly if you suspect unauthorized access. We may suspend or terminate accounts that violate these Terms, that are inactive for an extended period, or where required by law.

4. Your Content (Pet Records You Upload)

Pawdex lets you upload pet photos, pet vaccination records, Pet Health Diary entries, Memory Book posts about your pet, and other pet information (“Your Content”). Your Content concerns your pet (animal), not any human. You retain ownership of Your Content. By uploading it, you grant Pawdex a non-exclusive, royalty-free, worldwide license to host, store, reproduce, and display Your Content solely for the purpose of operating and improving the Service (for example, showing your pet's passport page when its QR is scanned, generating printable PDFs of your pet's records, or sending pet-care notifications).

You represent and warrant that you own or have all necessary rights to Your Content and that it does not infringe any third-party intellectual-property, privacy, or other rights. You are solely responsible for the accuracy of pet records you enter (including pet vaccination dates, microchip numbers, emergency contact information, and pet medical notes).

We reserve the right (but assume no obligation) to remove, refuse to display, or restrict any content that we believe in our sole discretion violates these Terms, infringes the rights of others, or is otherwise inappropriate.

5. Acceptable Use

You agree not to:

Upload false pet vaccination records, falsify pet health information, or impersonate a licensed veterinarian or veterinary clinic.
Use the “AI Verified” indicator or similar Pawdex features in a misleading way to suggest that a pet record has been authenticated by a vet.
Use Pawdex to store, share, or distribute human health, human medical, or any other non-pet personally identifiable health data — the Service is for pet (animal) records only.
Upload photos of pets, people, or property that you do not have permission to upload.
Use Pawdex to harass, threaten, defame, or stalk any other user, including via Lost Mode contact details.
Attempt to gain unauthorized access to any account, system, or data, including by scraping, automated extraction, or reverse-engineering.
Use the Service for any commercial purpose other than the ordinary use of your own pet records, your own business's tenant pages, or paid subscriptions you purchase.
Disrupt, overload, or interfere with the Service or its infrastructure.
Circumvent any access restriction, rate limit (including OCR limits), or paywall.
Use the Service in any manner that violates Philippine law or any other applicable law.

Violations may result in suspension or permanent termination of your account, removal of content, and where appropriate referral to law enforcement.

6. Public Pet Passport Pages and Lost Mode

Each pet you register receives a public passport page (e.g. mypawdex.com/p/PDX-XXXX) that is intentionally accessible without authentication. This page may be viewed by anyone with the link or who scans the pet's QR code.

Important: The emergency contact phone number you enter is shown on the public pet passport page. By using Pawdex you acknowledge and accept that this number will be publicly viewable, and you agree to use a phone number that you are comfortable making public. Pawdex is not responsible for unsolicited calls, messages, prank contact, or any other consequences of this public visibility, and is not responsible for whether listed contact persons answer or respond.

Lost Mode is a best-effort tool designed to make it easier for finders to reach you about your pet. Pawdex makes no guarantee that a lost pet will be recovered. You assume sole responsibility for any rewards you offer through Lost Mode. We are not a party to any reward agreement and will not facilitate the payment, collection, or dispute resolution of any such reward.

7. Not Veterinary Advice — Not Human Medical Advice — No Medical Service

Pawdex is a pet (animal) record-keeping and reminder tool. We are not veterinarians, not a veterinary clinic, and not a substitute for professional veterinary care. We are also not human doctors, not a human medical service, and not a substitute for professional human medical care. Nothing on the Service — including pet vaccination reminders, Pet Health Diary prompts, Trophy Room badges, breed information, or AI-extracted text from pet vaccination cards — constitutes veterinary, medical, diagnostic, or treatment advice for any animal or any human.

Always consult a licensed veterinarian for diagnosis, treatment, vaccination schedules, dietary plans, and any decision affecting your pet's health. Pawdex does not verify the credentials of any vet or veterinary clinic that you mention in a pet record, and does not warrant the accuracy, completeness, or timeliness of any pet health information stored on or displayed by the Service. Under no circumstances should any information on the Service be used in connection with human medical decisions.

8. Paw Vault OCR (Pro+) and Other AI Features — Pet Records Only

Pawdex Pro+ includes “Paw Vault OCR,” which uses an external AI service (Google Gemini) to extract structured data from photographs of paper pet vaccination cards you upload. This feature is intended exclusively for pet vaccination cards; you must not submit human medical documents, human prescriptions, or any human health record to this feature. The AI's output is best-effort and may be inaccurate or incomplete. The Service requires you to review extracted values before saving; you remain solely responsible for the accuracy of any pet record you choose to save.

The “AI Verified” indicator on a pet record means only that the record was generated via the OCR feature and not that the underlying pet vaccination card has been authenticated, validated, or endorsed by any veterinarian, regulator, or third party. Pawdex disclaims any responsibility for decisions you or anyone else (including veterinary clinics, boarding facilities, or government agencies) make based on AI-extracted output.

OCR usage is subject to rate limits described in our Privacy Policy.

8a. Breed-Specific Care Calendar (Pro+)

Pawdex Pro+ includes the “Care Calendar,” which uses an external AI service (Google Gemini) to generate general care reminders based on your pet's species, breed, and age bracket. The output describes typical routines, breed-typical traits, and health areas that pet owners commonly discuss with a veterinarian.

The Care Calendar is informational only. It is not veterinary advice, not a diagnosis, not a treatment plan, and not a substitute for consultation with a licensed veterinarian. The output is constrained by system prompts and content filters to avoid medication names, dosages, and symptom triage, but no AI system is perfect — you remain solely responsible for any decisions you make about your pet's care, and you should always consult your veterinarian for personalized guidance about your pet.

Pawdex disclaims any responsibility for outcomes resulting from reliance on Care Calendar content, including but not limited to missed veterinary visits, delayed treatment, or care decisions made without professional input.

9. Pawdex Tag, QR Codes, and Hardware

Pawdex provides downloadable QR code artwork (“Pawdex Tag”) intended for use on pet collars, pet tags, or printed materials about a pet. Pawdex does not manufacture, sell, or warranty the physical collar tag or any third-party tag-printing service you may choose to use. Durability, scannability, legibility, and weather resistance of the printed tag are your responsibility. Pawdex is not liable for any loss, damage, or injury arising from a damaged, illegible, or missing physical tag.

10. Pet Businesses and Bookings

Pawdex may allow you to view tenant pages and book appointments with independent third-party pet businesses (veterinary clinics, pet groomers, pet daycares, pet boarding facilities). Pawdex is not a party to those services and is not responsible for the conduct, quality, pricing, safety, or outcomes of any third-party pet business listed on the Service. Any dispute about a booking, pet service, payment, or pet care must be resolved directly between you and the business concerned. Pawdex may facilitate communication but does not guarantee a particular outcome.

11. Subscriptions, Payments, and Refunds

11.1 Plans

Pawdex offers a free tier and paid subscriptions (currently “Pawdex Pro” at ₱299/year and “Pawdex Pro+” at ₱599/year). Subscription pricing, features, and limits are described on the pricing page and may be modified from time to time at our discretion. Subscriptions are billed annually and do not auto-renew without your action; we may add auto-renewal in the future with prior notice.

11.2 Payment

Subscriptions are currently paid via GCash with manual receipt verification. When automated payment processing is added in the future, payments may be handled by an external processor (such as PayMongo) under that processor's own terms. Pawdex does not store credit-card, debit-card, or full GCash account details on its servers.

11.3 14-Day Refund Window

You may request a full refund within fourteen (14) days of activation of a paid subscription, no questions asked, by emailing support@mypawdex.com. After the 14-day window has passed, all subscription payments are final and non-refundable, including for partially used subscriptions, accounts that are voluntarily deleted, or accounts that are suspended or terminated for violations of these Terms.

11.4 Feature Changes

We reserve the right to add, modify, remove, or rename features within any tier at any time. Features described as “SOON” or “coming soon” are not guaranteed and may be delayed or cancelled. You are not entitled to a refund on the basis of a feature change, delay, or cancellation outside the 14-day refund window.

12. Third-Party Services and Links

The Service relies on third-party providers listed in our Privacy Policy. We are not responsible for the practices, policies, availability, or content of any third-party service or external website linked from Pawdex. Your interactions with third-party services are governed by their own terms.

13. Intellectual Property

The Pawdex name, the “Pawdex” wordmark, the paw mark logo, the PixelPath name, all UI copy and artwork, all software, and all related branding are the exclusive property of PixelPath Software Publishing House. No license to use any of the foregoing is granted by these Terms except as expressly stated. You may not copy, distribute, modify, or create derivative works of the Service or its branding without our prior written consent.

14. Availability and Modifications

We do not guarantee any particular uptime, performance, or availability of the Service. We may suspend, modify, restrict, or discontinue any part of the Service at any time without prior notice and without liability. We may also impose limits on certain features or restrict access without notice.

15. Disclaimer of Warranties

THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE”, WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED. To the maximum extent permitted by law, Pawdex disclaims all warranties including, without limitation, warranties of merchantability, fitness for a particular purpose, non-infringement, accuracy, reliability, completeness, security, and uninterrupted operation. Without limiting the foregoing, Pawdex does not warrant that:

The Service will be free of errors, bugs, or interruptions.
Pet vaccination reminders or pet-care notifications will be delivered on time or at all.
OCR-extracted data from pet vaccination cards will be accurate.
A lost pet will be recovered through Lost Mode.
Pet records stored on the Service will be retained indefinitely or recoverable after deletion.
The QR code or printed Pawdex Tag will remain scannable.

16. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, IN NO EVENT WILL PAWDEX, PIXELPATH SOFTWARE PUBLISHING HOUSE, OR ANY OF ITS OWNERS, EMPLOYEES, OR AGENTS BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES — INCLUDING WITHOUT LIMITATION LOSS OF DATA, LOSS OF PROFITS, LOSS OF GOODWILL, EMOTIONAL DISTRESS, INJURY TO OR DEATH OF A PET, OR ANY HARM ARISING OUT OF OR RELATED TO YOUR USE OF OR INABILITY TO USE THE SERVICE.

Our total cumulative liability to you for all claims arising out of or relating to the Service or these Terms shall not exceed the greater of (a) the total amount you paid Pawdex in the twelve (12) months immediately preceding the event giving rise to the claim, or (b) one thousand Philippine pesos (₱1,000).

Some jurisdictions do not allow the exclusion of certain warranties or limitations on liability; in those jurisdictions our liability is limited to the smallest extent permitted by law.

17. Indemnification

You agree to indemnify, defend, and hold harmless PixelPath Software Publishing House, its owners, employees, and agents from and against any and all claims, liabilities, damages, losses, costs, and expenses (including reasonable attorneys' fees) arising out of or in any way connected with: (a) your access to or use of the Service; (b) Your Content; (c) your violation of these Terms; (d) your violation of any third-party right; or (e) any dispute between you and another user, a third-party pet business, or any person who contacts you via Lost Mode.

18. Termination

You may stop using the Service at any time and may request deletion of your account by emailing support@mypawdex.com. We may suspend or terminate your access to all or part of the Service at any time, with or without notice, for any reason including suspected violation of these Terms. Sections 4 (license to Your Content for prior backups), 7, 8, 12, 13, 15, 16, 17, and 19 survive termination.

19. Governing Law and Dispute Resolution

These Terms are governed by the laws of the Republic of the Philippines, without regard to its conflict-of-laws provisions. You and Pawdex agree to attempt to resolve any dispute through good-faith negotiation first. If a dispute cannot be resolved within thirty (30) days, it shall be submitted to the exclusive jurisdiction of the competent courts of Cebu City, Philippines.

20. Miscellaneous

These Terms, together with our Privacy Policy, constitute the entire agreement between you and Pawdex regarding the Service. If any provision is held to be unenforceable, the remaining provisions remain in full force. Our failure to enforce any right is not a waiver of that right. You may not assign these Terms; we may assign them in connection with a merger, acquisition, or sale of assets.
